How to Authorize a Representative with the CRA—and How I Can Help

Canada’s tax system is designed to protect your personal information while making it easier to manage your tax affairs. One of the keys to a smoother process is authorizing a trusted representative to access your CRA account. Whether you're managing your personal tax or corporate tax matters, granting me (your sole practitioner CPA) access can simplify your tax filings, address CRA queries quickly, and help you stay on top of any updates or changes. Below is a summary of how the authorization process works and why it matters to you.

What Does Authorizing a Representative Mean?

By authorizing a representative in your CRA account, you give me permission to view—and in some cases, act on—your tax information. This makes it easier to:

  • Monitor your account: I can help ensure that all filings are up to date and that CRA communications are addressed promptly.

  • Manage your tax filings: With direct access, I can prepare and review your returns, address potential issues, and ensure compliance without the back-and-forth that sometimes slows down the process.

  • Respond to CRA inquiries: Whether it’s a follow-up question or a more complex issue, having representative access means I can interact directly with the CRA on your behalf.

How to Authorize a Representative

The CRA provides a few ways to authorize a representative:

  1. Using CRA’s Online "My Account": If you have a CRA My Account, log in and navigate to the "Profile" section. In the "Authorized Representatives" area, you can add me as your representative. You will typically need to provide my RepID, Group ID, or Business Number. This method gives my office immediate, secure online access—streamlining our communication and allowing me to manage your tax matters efficiently.

  2. Represent a Client Function: Alternatively, if you’re already in the process of filing or need to grant access for a prior return, you can use CRA’s "Represent a Client" option. This process is designed to provide instant access—once you approve the authorization, I can immediately begin working on your account details.

  3. Offline Authorization: For those who are not comfortable or do not yet have online access, you can authorize representative access by submitting a signed paper form (AUT-01). However, note that offline access is more limited and slower compared to the online system, offering only telephone, mail, or fax access.

Why This Matters If You Work with a Sole Practitioner CPA

Working directly with a sole practitioner like myself means you get personalized service without the hassle of multiple layers of communication. When you authorize me as your representative:

  • Speed and Efficiency: I can quickly access your tax data, expedite document submissions, and respond promptly to any CRA issues.

  • Accuracy and Risk Management: By having direct access, I can better monitor your account for potential errors or inconsistencies before they escalate into bigger problems.

  • Peace of Mind: You’ll have the convenience and confidence of knowing a dedicated professional is continuously managing your tax affairs.

In our practice, I make it a priority to ensure that the process is smooth, secure, and in full compliance with all CRA requirements.
